Who we are

Mintleaf is a sole trader operated by Bilal Ilyas, Halifax, UK. Contact: hello@mint-leaf.uk.

What we collect

  • Contact details you give us when you enquire, book a call, or message a front-desk assistant.
  • Where we build an agency a front desk, the enquiry details its assistant captures (name, contact, what the person is looking for, and the chat transcript) — processed on the agency's behalf as its processor (see our Data Processing Addendum).
  • Business contact information about property agencies, compiled from public/official sources (Companies House), used to introduce our service to relevant agencies.
  • Basic technical data (e.g. IP address) for security and rate-limiting.
  • Anonymous, cookieless page-view counts. We set no tracking cookies and store no IP address or any identifier that persists beyond a single day — only aggregate counts.

The AI front desk

Messages sent to an assistant are processed to generate a reply and to capture an enquiry for the relevant agency. To produce replies we send the conversation to a large-language-model provider (Anthropic, or an OpenAI-compatible provider such as Groq) acting as our sub-processor under contract; we do not use your messages to train models. Don't enter payment details or sensitive personal data into the chat — it's for routing enquiries, not for taking sensitive information.

Lawful basis

We process enquiry and booking data on the basis of taking steps to enter a contract and our legitimate interest in responding to you. Business-to-business prospect data from public registers is processed under legitimate interest, limited to business contact details, for relevant low-volume contact; any phone outreach is screened against the TPS/CTPS registers first, as PECR requires. Enquiry data captured by an agency's assistant is processed as that agency's processor under our DPA.

Retention and removal

Prospect records are kept only while relevant; enquiry data only as long as the agency engagement and our legal obligations require. If you ask us not to contact you, you go on our do-not-contact list immediately.

Your rights

You may request access, correction or deletion of your data, or object to processing, by emailing hello@mint-leaf.uk. For data captured by an agency's assistant, contact that agency (the controller); we will assist them. You may also complain to the ICO (ico.org.uk).
